The process

How the property enquiry follow-up pilot works

One authorised segment of old property enquiries, contacted carefully, with every message approved by you. Here is what happens, who does what, and what you get at the end.

Six steps, in this order

Each step shows who does it: you, Awoken, or both.

  1. Step 1: Review your enquiry pipeline

A call about how enquiries reach your team: portals, ads, your website, channel partners; the CRM or sheet they live in; how many attempts a lead gets before it is marked dead. We ask about the process, not for the data.

    Done by: You and Awoken

  2. Step 2: Agree one authorised segment

One bounded set of old enquiries, for example one project’s portal leads older than 90 days with no contact since. You confirm in writing that we may contact them for you, and what is off-limits.

    Done by: You

  3. Step 3: Approve messages and contact rules

We draft the messages with you. Your named approver signs off the exact text, the channel, and the most attempts any one person gets. Any change to the text needs a fresh approval.

    Done by: You

  4. Step 4: Re-contact the eligible enquiries

We check each enquiry against your exclusions and do-not-contact list, then reach out by the agreed method, by hand, and record every attempt and reply. Anyone who asks to stop is never contacted again.

    Done by: Awoken

  5. Step 5: Hand interested people to your sales team

Anyone who is still looking goes to the salesperson you name, the same day, with what they said. Price, availability and offers stay with your team.

    Done by: You and Awoken

  6. Step 6: Review the report together

Counts for every stage with their definitions, what didn’t work, and our honest view on whether a larger run is worth it for your business.

    Done by: You and Awoken

Where the pilot picks up

Most enquiries get worked hard for a week or two and then go quiet. The pilot starts in that quiet stretch, not before it.

Your team

A portal enquiry for a 2BHK lands in your CRM. Someone calls the same week.

Illustrative enquiry. The record and names are invented; this is not client data.

What we need from you

About an hour of your time
A first call about your process, a second to agree the segment and messages, and a last one to go through the report.
One export
The agreed segment only, from your CRM or sheet, shared through a method we agree in writing. Never through this website.
Your approval
Sign-off on every message template before anything is sent, and on any change to it during the pilot.
A named salesperson
Someone who will pick up the conversations we hand back, so an interested buyer is not left waiting.

Careful with people, careful with data

The full detail of what we ask for and when it is deleted is on security and data handling.

How people are contacted

Only your own enquiries
We contact people who enquired with your business, about your projects. No bought lists, no new audiences.
Opt-outs are final
Anyone who asks to stop is not contacted again, and we pass the request back so your team can respect it too.
Permitted channels only
We use a channel only where you are permitted to contact these people on it. WhatsApp, for example, needs the person’s opt-in to hear from your business there; where that isn’t on record, we use another agreed method or leave them out.
Made by a person
Every contact is made by hand and recorded with its time and outcome, up to the attempt limit in your terms. Nothing is sent in bulk.
Your voice, your limits
Messages say who they are from. Anything about price, availability, offers or legal terms goes to your salesperson.

What happens to the data

Used for the pilot only
The segment you share is used to run the pilot and write its report. It is not used to train AI models or sold or shared.
Deleted at the end
We delete the segment and conversation records on the date written into the agreement and confirm it in writing. Our backups that still contain them are removed on a 14-day cycle, and we confirm in writing when the last one has gone.
Kept small
We ask for the fewest fields that make a respectful message possible: usually name, number, project and enquiry date.

What you agree before anyone is contacted

These are written down and signed for your business. Once the pilot starts, the channel, attempt limit and data sources are fixed; changing them means a new agreement.

Pilot terms

Agreed in writing before anyone is contacted

Scope
Which enquiries are in: the project, the source, the date range. Nothing outside it is touched.
Exclusions
Live negotiations, existing customers, anyone your team is already working, anyone you name.
Messages
The exact words, approved by your named approver. Edits need a new approval.
Contact limits
The channel, the hours, and the most attempts any one person receives.
Opt-outs
Honoured on the first request, across every list you share with us, and passed back to you.
Handoff
Who receives interested people, and how. Your team owns every conversation from there.
Data
The fewest fields needed, used for this pilot only, deleted on a date written into the terms.

What the report contains

Each count with its definition and what it is out of, the messages that were used, what didn’t work, and our honest read of whether a larger run is worth it. The full scope is on the pilot page.

Small numbers stay numbers

Percentages appear only once at least 20 people are counted. Below that you see the raw counts.

What didn’t work

Undelivered messages, wrong numbers, and anything that made the result hard to judge.

Illustrative layout. Your report is filled in from the attempts and replies recorded during your pilot.

Three short steps, about four minutes. A person at Awoken reads every application, and if a pilot doesn’t make sense for you, we’ll say so.
